OntarioMD (OMD) is working with hospitals to improve reports sent through Health Report Manager (HRM®), and with EMR vendors to support better handling of reports received from hospitals.
Reduce HRM report volumes with these quick steps
Health Report Manager (HRM) delivers patient health reports from hospitals and specialty clinics to Ontario community clinicians' EMRs. Work is ongoing to enhance HRM functionality and reduce the report burden on primary care clinicians.
There are two actions you can take right now to reduce the volume of reports landing in your inbox and better control which reports are delivered to you through HRM:
How to stop eNotifications
An eNotification is a near real-time alert sent through HRM from participating hospitals to notify you when your patient is discharged from the emergency department or admitted to/discharged from in-patient units.
To stop receiving
eNotifications, complete these steps:
- Complete the
Expression of Interest form. Your name, licence number and email address are required. The email address must be specific to the clinician making the request.
- Look for a verification email from support@ontariomd.com. If you do not receive it within 10 business days, please contact support@ontariomd.com.
- You will receive an email confirmation that eNotifications have been stopped once your request has been processed.
How to stop faxed duplicate copies of HRM Reports
You will need to contact each HRM sending facility to stop faxed duplicate copies of HRM reports. This can be completed by administrative staff on behalf of an individual physician or group of physicians in the same clinic. Here are the steps:
Visit OMD's
Sending Facilities webpage to locate each site that sends you reports by fax.
Get stop paper Instructions.
Draft one email to all relevant sending facilities, providing your name and CPSO/CNO number and request to stop faxed duplicate copies of your HRM reports. The email template is below and can also be found on the
OMD website.

Hello [Facility Name],
You are listed as a contact for requests to stop faxed or paper reports from your hospital.
Our clinic is currently receiving reports from your facility by both fax and Health Report Manager (HRM®). We kindly request that you send reports via HRM only and discontinue sending duplicate reports by fax.
This request applies to:
Name:
Billing #:
CPSO/CNO #:
Please confirm whether your organization’s stop-paper policy can accommodate this request, and let us know if you require any additional information from our clinic to support this change.

Health Report Manager Improvement Recommendations Advisory Committee (HIRAC), are always working to improve your HRM experience. HIRAC is responsible for advancing recommendations from OMD's HRM Task Force, including existing efforts to reduce report volumes.

1. What exactly are eNotifications?
eNotifications are quick alerts notifying you of patient admissions, discharges, or transfers.
They are not:
The above reports will still be delivered to your EMR through HRM, even if you stop eNotifications.
2. How do I know if I am currently receiving eNotifications?
Visit the OntarioMD Sending Facilities page.
Search for your local hospital(s) on the list of sending facilities.
If your hospital sends eNotifications, it will have a green check in the upper right column. This is a strong indication that you are likely receiving eNotifications from that hospital through HRM.
3. Can I still receive eNotifications for specific patients or from specific hospitals?
No. Once you decide and confirm your decision to stop receiving eNotifications, you will not receive them for any patients or from any hospitals. In future phases, OMD will explore the ability to manage eNotifications preferences across specific patients and hospitals. If you use HRM at multiple locations, stopping eNotifications means you will not receive them at any location.
4. Since I will no longer receive eNotifications, how long do I have to wait for discharge summaries?
When eNotifications are stopped, you will continue to receive discharge summaries as you normally would, typically within 24 to 48 hours after the patient's discharge. While eNotifications and discharge summaries may contain similar information, they are distinct report types.
eNotifications provide a quick, real-time alert of a patient's status change (e.g., admission or discharge).
Discharge summaries offer a more detailed clinical report of the patient's treatment and follow-up plan.
5. How can I receive eNotifications again?
You can receive eNotifications again at any time by emailing support@ontariomd.com. Please include your full name and licence number in the email so we can correctly identify you and process your request.
6. Can I draft one email to send to multiple sending facilities?
Yes, you can. Draft one email to multiple sending facilities, providing your name and CPSO/CNO number and request to stop faxed duplicate copies of your HRM reports.
